Workflows & statuses

A workflow is the set of statuses a task moves through. It’s to a task what a pipeline is to a deal: the board’s columns, and the vocabulary your team uses for “where is this”.

Workflows live in Settings → Workflows.

Every workspace starts with one workflow holding three statuses:

Status Category
To do Not started
In progress Started
Done Closed

That’s the minimum that works, because a board with fewer columns than categories can’t express “someone is on it”.

Each status belongs to one of three categories: not started, started, or closed.

A task’s completion follows its status category, and nothing else. Move a task into any closed status and it’s complete; move it out and it reopens. That’s why you can rename “Done” to “Shipped”, or run five closed statuses (“Shipped”, “Cancelled”, “Won’t do”), without breaking a single report or filter.

Each workflow is a card listing its statuses. You can:

  • Add a status, with a name, a color, and a category.
  • Rename, recolor, or change the category of an existing one.
  • Drag statuses to reorder them. The order is the board’s column order.
  • Delete a status. Cavyro asks where its tasks should land first, because it won’t strand them.

A workflow can’t lose its last closed status. Without one, every task in it would be permanently open.

A workflow belongs to the workspace, not to one project, so several projects can share “Development” while another runs “Content”.

  • Create a workflow and it starts with the To do / In progress / Done set, which you then edit.
  • Rename it, or make it the default for new projects.
  • Delete it once no project uses it. While a project still runs on it, Cavyro refuses and tells you.

A project points at exactly one workflow, picked when you create it. Changing a project’s workflow remaps every task in it to the status with the same category.

Deleted workflows go to Settings → Recycle bin, under Workflows, and can be restored or deleted permanently.
