Scheduled messages & reminders
Two small tools for the same problem: you meant to get back to someone, and the chat slid down the list.
- Scheduled messages write the message now and send it later, for you.
- Reminders send nothing. They poke you at a time you pick.
Both live inside a Telegram chat in Cavyro, so you need a connected Telegram account first.
Schedule a message for later
Section titled “Schedule a message for later”Say it’s 11pm and you don’t want to look like you work at 11pm. Write the message now, have Cavyro send it tomorrow morning.
- Open the chat in Cavyro.
- Type your message in the box at the bottom, like you normally would. Don’t press send.
- Click the clock icon next to the send button. It’s called Send later and it only lights up once you’ve typed something.
- Pick when it goes out:
- In 1 hour
- Tomorrow 9:00
- Monday 9:00
- or Custom, where you pick any date and time yourself.
- Optional: turn on Cancel if they reply first (more on that below).
- Click the confirm button. Your message leaves the typing box and moves into the scheduled list.
Times are your own local time. If you pick 9:00, it means 9:00 where you are.
“Cancel if they reply first” explained
Section titled ““Cancel if they reply first” explained”This is the setting worth understanding, because it saves you from looking silly.
Imagine you schedule “Hey, any update on the quote?” for Friday morning. On Thursday night, they message you the update themselves. Without this setting, your nudge still goes out Friday and you look like you didn’t read their message.
With Cancel if they reply first turned on, Cavyro checks right before sending. If they wrote to you in the meantime, the message is quietly dropped and you get a notification saying it was skipped because they replied. Nothing is sent.
Leave it off for messages that should go out no matter what, like “Sending the invoice over as promised.”
See, change, or cancel what’s scheduled
Section titled “See, change, or cancel what’s scheduled”When a chat has messages waiting, a thin strip appears just above the typing box saying something like 2 scheduled. Click it to open the list.
Every scheduled message shows the text, when it goes out, and a Skips if they reply badge when you turned that setting on. Hover a row and you get two buttons:
- Pencil: change the text, the time, or the skip setting.
- X: cancel it. The message is never sent.
You can edit or cancel any time before it goes out. After it sends, it’s a normal message in the chat like any other.
When it actually sends
Section titled “When it actually sends”Cavyro checks every minute, so your message goes out within about a minute of the time you picked. It’s sent from the same Telegram account you scheduled it from, and it lands in the chat as a normal message. The person on the other side sees nothing unusual: no “scheduled” label, no delay marker.
You don’t need Cavyro open. You don’t need your computer on. It goes out either way.
When something goes wrong
Section titled “When something goes wrong”Sometimes a message can’t be sent. When that happens the row turns red in the scheduled list, and you get a notification (in the app, and by email) that explains why in plain words. The usual reasons:
- The Telegram account was disconnected. Reconnect it, then schedule again.
- You lost access to that chat. This happens on a teammate’s shared inbox if they stop sharing it with you.
- They blocked the account you were sending from, or their privacy settings don’t allow messages from it.
- Telegram is rate-limiting the account. This one isn’t a failure: Cavyro just waits and tries again later, automatically. You don’t have to do anything.
Limits and rules
Section titled “Limits and rules”- You can have up to 50 messages waiting per Telegram account at once.
- You can only schedule in a chat that already exists. Cavyro won’t start a brand new conversation on a schedule, which is deliberate: cold bulk messaging is what gets Telegram accounts banned.
- Text only for now. No photos or files.
- On a shared inbox, scheduling needs reply access. If you can only read a teammate’s chats, you won’t see the clock icon. When the message does go out, your teammates see who sent it.
Set a follow-up reminder
Section titled “Set a follow-up reminder”A reminder never touches the chat. It just makes sure you don’t forget it exists.
- Open the chat, then open the panel on the right (the Contact info panel).
- Find the Reminders section, near the top under This chat.
- Click Remind me.
- Pick a time, the same way as scheduled messages: In 1 hour, Tomorrow 9:00, Monday 9:00, or a custom date and time.
- Optional: type a short note to your future self, like “Ask if legal signed off.”
- Optional: turn on Only if they don’t reply (explained below).
- Click Set reminder.
That’s it. Nothing is sent to the other person. They have no idea the reminder exists.
“Only if they don’t reply” explained
Section titled ““Only if they don’t reply” explained”Two flavours of reminder:
- Leave it off and the reminder fires at the time you picked, no matter what happened in the chat. Good for “check the contract on Monday regardless.”
- Turn it on and Cavyro checks the chat first. If the person wrote to you before the reminder was due, it quietly resolves itself and you’re never interrupted. If they stayed quiet, you get the nudge. Good for “if this one goes silent for three days, tell me.”
The second one is the one most people want. It only bothers you when there’s actually something to chase.
Where your reminders live
Section titled “Where your reminders live”In the same Reminders section of the panel. Each pending reminder shows the date and time, your note, and an Only if no reply badge for the conditional ones. Hover a row for two buttons: the pencil to change the time, note, or condition, and the X to cancel it.
The section shows on every chat: private chats, group chats, chats linked to a CRM contact, and chats that aren’t linked to anything.
Reminders are private
Section titled “Reminders are private”Your reminders are yours. Teammates never see them, not even on a shared inbox where they can read the same conversation. And because a reminder sends nothing, you can set one on a teammate’s shared chat even when you only have read access.
How you get reminded
Section titled “How you get reminded”When the time comes, the reminder arrives on the channels you have turned on in notification settings:
- In the app, in your notification panel.
- By email, with the note you wrote and a link straight back to the chat.
- In the Cavyro Telegram bot, if you’ve paired it.
Clicking any of them takes you back to the exact conversation.
Which one should I use?
Section titled “Which one should I use?”| You want to… | Use |
|---|---|
| Send a message at a better hour | Scheduled message |
| Nudge someone on a set date | Scheduled message |
| Remember to check on something yourself | Reminder |
| Be told only if someone goes quiet | Reminder, with Only if they don’t reply |
| Chase a thread without writing the message yet | Reminder |
A good habit: end a conversation by setting a reminder with Only if they don’t reply for a few days out. If they answer, you never hear about it. If they don’t, Cavyro tells you exactly who went quiet.
Common questions
Section titled “Common questions”Does the other person know I scheduled a message? No. It arrives as a normal Telegram message at the time it’s sent.
Does my computer need to be on? No. Both scheduled messages and reminders run on Cavyro’s side.
Can I schedule the same message to lots of people? Not from here. That’s what campaigns are for, and they come with pacing and sending limits that keep your account safe.
What if I change my mind? Edit or cancel either one at any time before it fires, from the scheduled strip above the typing box or from the Reminders section in the panel.
Where do I see all my reminders at once? Right now, reminders show inside the chat they belong to, so you find one by opening that chat. A single list of everything you’ve got pending is on the way.
